Introduction

Oracle Learning Cloud provides enterprise with learning platform that helps companies develop and retain talent. It is one of the applications in Oracle Human Capital Management (HCM) Cloud and integrates with HCM’s Core HR and Talent Management. Author Tutorial is one of my favorite projects in Learning, aiming to engage both managers and employees in sharing knowledge and experience.

Background

Team and my role 
As the only designer in this project, I was responsible for end-to-end design process, from exploring initial ideas to delivering final design and checking UI bugs. I partnered with one product manager and a team of developers. We brainstormed concepts and iterated the design during our weekly meeting, survived together from design reviews with both internal UX team and product executive. Special thanks to my design team, gave me great feedback and asked critical questions that helped me think more broadly.

Challenge  
In order to stand out from competitors and win more customers in the HCM market, we’ve been putting effort in redesigning responsive pattern library and design guidelines for applications across HCM Cloud. Consistency and fast release are key to our product. However design consistently and creatively at the same time is hard, especially we were in early stage of redesign, where patterns can be limited for some use cases. Therefore my goal is to first deliver the design within pattern which won’t require customized coding. Then if the best solution is beyond pattern I will propose new design approach. Depending on time and resource I have to decide if any tradeoff needs to be made, and it’s all about coordinating with the whole team. Also I need to work with the pattern owner to update my proposed component to the pattern library, and provide detailed spec or interactive prototype to dev team.

Share knowledge at work can be fun

🤨 What’s the problem?  
During customer visits we got many complaint about not having a comprehensive publishing tool in Learning. To further identify why and how users would use this function, we had interviews with internal managers and employees at Oracle. Based on the conversations, managers need to send out learning resources and materials to give guidance to their team all the time, especially for onboarding new hire. Currently they use external tool like Dropbox and give access to the team, or simply share a link with some explanation via email. But those are very limited when they want to create something with rich media and more complex.

From employee’s perspective, most of them are eager to expand their expertise by exploring e-learning or in person classes and events. During lunch break at work, they talk about new technologies and trends from what they’ve learned or from their own experience. They are always willing to connect, collaborate and share knowledge with peers.

🎯 What do we want to achieve?

  • Design a tutorial authoring tool for users to share skills and knowledge with peers or subordinates at workplace.
  • Strategically in our Learning system everyone will be engaged to be both a teacher and a learner. Increase user engagement for the Learning product.

🛠 How should the creation experience be like?
To get a clear picture of how the design should be mapped out, we asked users how they would like to create a tutorial, what functions they will need, what they consider is a good tutorial and how they want the viewers to learn from their tutorial. I summarized the findings and prioritized several aspects:

Craft The Design

Optimize the flow
Before diving into detailed design, I created a “skeleton” of this project which covers the key flow of create, edit and view. Also, taking consideration of the whole Learning product (link), the navigation logic of Tutorial should be consistent with two other creation flows, Publish Video and Create Community (and these are my next projects). By illustrating this flow gram I can easily take on the next two projects later on.

Design exploration
Here is the process of how I came up with some early idea wireframes.

To help users onboard to this new function easily, I came up with “book” analogy. The way people creating a tutorial in our system would be just like writing a paper or a short book. They would basically like to write a short overview (preface) and a set of contents. Tutorials are made up of Tutorial Chapters. Each Section can be added a specific media.

Then I explored the layout possibilities aligned with HCM design pattern.

We chose to move forward with option 2 because a compact view of “Table of Content” saves more real estate on a page and privacy setting gets to be more discoverable. Also users can have a bird eye view of their progress.

When I and my PM sit together discussing what information is required to be filled in, I realized that a “*” symbol might not be interactive enough. Unlike filling a payroll form in HR system which is a mandatory task, tutorial is more self-motivated and we should guide the users through what they need to do and encourage them to make a tutorial great. So I added a to-do list on tutorial editing page. The checkmark will be checked as they fill out correlated field.

One of the finding from the research was, users care about how viewers feel about their tutorial. Instead of a “Preview” button, which is lame and slow, WYSIWYG layout can help users edit and preview simultaneously. So I started to think about the ideal viewing experience of a tutorial from viewers’ side. I came up with the visual idea of having a full-width cover art image, to engage the viewers more in the content. Then I moved on to improve the design of creation experience (editing state) to the same layout.

Iterations of tutorial chapter editing
The interaction of chapter editing and creating can be inline within the list view, or drilling down to a new page, or using a modal. I rolled out modal in the first place since the length of content could be very long in a chapter. For the other two approaches, there’s been lots of debating when I reviewed with designers and PMs. Thinking from the use case perspective, I did an analysis for both approaches. At this stage, I designed in high fidelity in order to better communicate with stakeholders and users.

Product team was super in favor of full-page editing design. They considered mostly the difficulty of implementation, inline edit seems to need more effort to achieve. Also they liked the fact that full page editing is neat and clean. On the other hand, designers liked inline editing and this is what they practiced in their projects. So I conducted a round of user testing with this wireframe using InVision. I asked them to think aloud. In the result, users didn’t show any problem with either interaction. But a few commented that in option 2, when drilling down to the editing page they looked around a few seconds on the page to confirm what they are doing, moved their cursor up to the top to hit “save”, and when back to the previous page they also need to process where it has been saved. Overall, the experience in option 1 feels quicker. In the meanwhile, we got a message from dev team that the 3 levels transaction page (page that requires submission and save) will cause performance issue. If we want to push this project to the nearest release, we have to go with option 1. The decision was made on option 1 inline edit for desktop, based on the use case and technical constraints.

Then based on technical feasibility, and usability that I evaluated with PM and designers, we narrowed down to 2 most promising options. I prototyped the flow in Invision and ran testing with researchers among both internal Oracle employees and external users.

We tested with 5 users. 4 of them liked option 1 because of the interesting visuals. 1 user liked option 2 because “simple, similar to many other designs”. Whereas 3 users commented option 2 “not playful”. What brought to my attention was that when testing option 1, a question asked “if media is required in this step”. Then I realized the colors and icons draw people’s attention but at the same time adding much cognitive load, when media is actually not the primary feature in editing. It could be better to have a button to reveal the media row, like in the exploration, but technically that’s not realistic for MVP version.

I discussed with team and decided to improve option 2 to be more visually playful, and more conversational. Below is the final design for this release, which includes interactions for adding different types of media:

Improve mobile experience
We assume most people would create tutorial on laptop since it’s easier to type and get attachment. But we also want to make the experience more seamless and continuous. In mobile scenario, imagine users are in a comfortable setting, sitting on couch or during lunch time, they could have ideas on the structure of tutorial, and enter the title for each chapters. So we changed “Description” in Chapters to non required fields.

I worked with PM and engineering team to finally get done with 2 technical improvements:

Newly added chapter appears at the bottom of the list
In our pattern guideline, the new item will be added to the top of the list view and push down other rows. However, in tutorial use case where we build chapters like in a book, it would make more sense to have the newly created chapter appears at the bottom.

Results

The Learning redesign in 2018 brought about 10M more revenue for HCM. We signed on two major customers including Landmark.

Before launching Author Tutorial in Learning, we did usability testing among end users, and showed demo to the customers to get them excited. Both received many positive feedback. (in the enterprise space, collecting customer data takes fairly a long time, from feature release to customer uptake, so we wanted to gather as much feedback as possible before launching)

Next Steps

  • Success metrics. As more and more end users come in to this feature, we want to measure the conversion rate of how many users visit Author Tutorial page, and how many of them successfully publish a tutorial. Since not everyone will have the need of creating a tutorial, and also they won’t use this function on a daily base. So what we want to measure is the “depth” of their interaction.
  • “Container-less”. Free type form makes it more flexible in terms of putting together media and changing font style. Inspiration from Dropbox Paper and Medium create article.
  • Allow learners to leave comments.
  • As we collect more user data, we would provide tips of what a good tutorial look like when users are creating.
